Important notice regarding children: Our services are directed at children ages 8–14. All accounts are created and managed by parents or legal guardians. We do not knowingly collect personal information directly from children under 13 without verifiable parental consent, in compliance with the Children's Online Privacy Protection Act (COPPA).

Sophia James Education LLC ("we," "us," or "our") is an online education company based in Missouri, United States, operated by Dr. Raquel DeSouza and Ms. Riquelme Chaves.    We provide live online reading comprehension clubs, private tutoring, and educational products for children ages 8–14 and their families.

Our website is located at www.sophiajameseducation.com. This Privacy Policy applies to all information collected through our website, our Moodle learning platform, and any related services.

2. Information We Collect

Information you provide to us

  • Parent or guardian information: Name, email address, and communication preferences when you sign up for our newsletter, book a discovery call, or enroll your child.
  • Child information: Your child's first name and age, provided by you as the parent or guardian, solely for the purpose of placing your child in the appropriate reading group.
  • Payment information: We do not store your credit card or payment details. All payment processing is handled by Stripe or PayPal. We receive only a transaction confirmation.
  • Google Calendar data: When you book a discovery call, Google Calendar collects your name and email to send a calendar invitation. This is governed by Google's Privacy Policy.
  • Communications: Any messages you send us by email or through our website contact form.

Information collected automatically

We do not use website analytics tools, tracking pixels, or cookies to monitor visitor behavior on our website. We do not collect IP addresses, browser data, or usage statistics.

3. How We Use Your Information

We use the information we collect only for the following purposes:

  • To enroll your child in the appropriate reading club group
  • To communicate with you about sessions, scheduling, and your child's progress
  • To send our newsletter and educational resources (only if you have subscribed)
  • To process payments for our services and products
  • To respond to your questions and support requests
  • To comply with legal obligations

We do not sell, rent, or trade your personal information to any third party for marketing purposes. Ever.

5. Children's Privacy (COPPA)

Sophia James Education LLC takes the privacy of children seriously and complies with the Children's Online Privacy Protection Act (COPPA).

  • All accounts are created and managed by parents or legal guardians — never by children directly.
  • We collect only the child's first name and age, provided by the parent, to assign them to the appropriate reading group.
  • We do not collect any other personal information from children under 13 without verifiable parental consent.
  • We do not share children's information with any third party except as required to deliver our educational services (e.g., the Moodle platform).
  • Sessions are conducted in small private groups. We do not record sessions. Chat features within sessions are supervised by Sophia James Education LLC at all times.
  • If you believe we have inadvertently collected personal information from a child without parental consent, please contact us immediately at the address below and we will delete it promptly.

6. Data Security

We take reasonable measures to protect your personal information from unauthorized access, loss, or misuse. These measures include:

  • Using secure, reputable third-party services for payment processing — we never store card details ourselves
  • Keeping our Moodle platform updated and access-controlled
  • Communicating via encrypted email where possible
  • Limiting access to personal information to Sophia James Education LLC only

No method of internet transmission is 100% secure. While we do our best to protect your information, we cannot guarantee absolute security. If you have concerns about a specific piece of information, please contact us directly.

7. Your Rights

As a parent or guardian, you have the right to:

  • Access the personal information we hold about you and your child
  • Correct any inaccurate information
  • Delete your information — request that we remove all personal data we hold about you and your child
  • Unsubscribe from our newsletter at any time using the unsubscribe link in any email
  • Withdraw consent for us to contact you, subject to any existing contractual obligations

To exercise any of these rights, please contact us at the address listed in Section 10. We will respond within 30 days.

8. Data Retention

We retain your personal information for as long as your family is enrolled in our services, plus a reasonable period afterward for record-keeping and legal compliance purposes (typically 3 years).

If you request deletion of your data, we will remove it from all active systems within 30 days, except where we are required to retain it by law (for example, financial transaction records).

Newsletter subscriber data is retained until you unsubscribe or request deletion.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. If we make significant changes that affect how we handle children's information, we will notify enrolled families directly by email before the changes take effect.

Your continued use of our services after any changes constitutes your acceptance of the updated policy.
